In this episode of *[SaaS Expert Voices](https://www.maxio.com/podcast)*, [Randy Wootton](https://www.linkedin.com/in/randy-wootton-910/), CEO of Maxio, talks with [Chris Morgan](https://www.lbmc.com/team/chris-morgan/) about the growing role of outsourced accounting for SaaS businesses. They discuss what happens as companies scale, including the move from cash-basis to accrual accounting, the need for better financial reporting, and the systems required to support a more complex business.

For many SaaS companies, those changes also expose the limits of the accounting software they started with. If the finance team is relying on spreadsheets and manual processes to handle reporting, revenue recognition, or other work outside the system, it may be [time to move beyond QuickBooks](https://www.lbmc.com/blog/upgrade-quickbooks-saas/).

Chris also discusses the role an outsourced accounting team can play in putting better processes and systems in place. Tools such as Sage Intacct and Maxio can help finance teams manage information as the business grows and reporting requirements become more demanding.

### Maintaining Trust with Reliable Financial Reporting

Clear, accurate financial reporting matters when you’re talking with investors and the board. As Wootton points out, something as simple as miscategorizing ARR (Annual Recurring Revenue) can create questions about the numbers and undermine confidence in the reporting. Or, as he puts it, “You go to math camp” and have to explain why the numbers don’t match.

Morgan also stresses the importance of consistency, particularly around the monthly close. A disciplined accounting team, good financial controls, and a clear view of cash, deferred revenue, prepaid expenses, and other financial information all help keep the company prepared.

“We say we’re audit and due diligence ready at any time,” Morgan says. For a growing SaaS company, that’s a good standard to work toward.

### The Modern CFO: From Back Office to Strategic Partner

The role of the CFO has evolved significantly in recent years, transforming from a traditional back-office function into a dynamic strategic partner within the executive leadership team (ELT). Today’s CFO is no longer just focused on maintaining accurate financial records or ensuring compliance. They are at the intersection of data, strategy, and decision-making, working closely with the CEO and other executives to guide the business through complex financial landscapes.

Modern CFOs have to be skilled at communicating complex financial information to non-financial stakeholders, in addition to managing finances. Wootton says that to help CFOs better communicate, they must master data visualization. It’s easy to want to show detailed financial models, but not everyone in the boardroom is an accountant. CFOs can effectively share information with executives, board members, and investors by turning numbers into clear visuals like trends or graphs.

Morgan says, “Keep it simple when presenting to the board.” CFOs should share clear, high-level insights that tell a story instead of drowning stakeholders in details. The goal is to give enough information so that the board can make smart choices without overwhelming details.

This episode is a good reminder that the CFO’s role changes as a SaaS company grows. Keeping the books straight is still important, but so is helping the CEO and board understand what the numbers are saying and what they mean for the business.
